ADMINISTRATIVE ASSISTANT – burlington, Ontario
R. Sales & Associates IG Private Wealth Management is located in Burlington. We provide a full range of financial products and services to families, entrepreneurs, professionals and business owners in the GTA area and have been in practice for more than 17 years.
POSITION SUMMARY
The Administrative Assistant provides complete administrative support as well as develops, implements and maintains support systems, while operating in a fast-paced, confidential, multitasking environment. Situations may arise when variations in workloads, periodic responsibilities, or special projects and events require overtime work for the job to be completed.
RESPONSIBILITIES:
Receive client inquiries on behalf of the Consultant and determine appropriate course of action. This may include proactively investigating and resolving client problems and recording the nature of the inquiry and advising the Consultant.
Run reports and Excel spreadsheets as required by the Consultant
Create prospect profiles in databases and download applicable forms for Consultant accessibility
Prepare client and prospect appointment files for Consultant meetings
Reviewing daily business transactions regarding client accounts and managing/updating client databases;
Update and maintain client files with instructions, scanned documents, meeting details
Prepare documents for signatures/e-signatures
Participate in meetings and events
Maintain/update digital mailing distribution list for newsletters, calendars, birthday cards, etc.
QUALIFICATIONS
Administration Diploma or other Postsecondary degree in a relevant discipline or equivalent experience;
3 or more years administrative experience preferably in the financial services industry;
Strong technology skills, including the ability to lean and incorporate new software/tolls quickly and apply its full range of capabilities
Strong computer skills with the Office 365 (Outlook, Word, Excel);
Experience with client relationship management systems (Salesforce)
Excellent organizational and communication skills
Strong attention to detail and ability to work independently is required
Demonstrated exceptional client service and support
Discretion and ability to organize and prioritize multiple tasks under tight deadlines.
OTHER INFORMATION
This is a part-time in-office position offering a competitive salary.
Must have flexible schedule
Full G Driver’s License and access to own vehicle
Ability to drive 1-3 hours per week for file pick-up and drop off

REQUIREMENTS:
The successful candidate will have a minimum of 5+ years of financial service experience
Excellent customer service and client relationship management experience
Comfortable working independently
Familiarity with Salesforce, Conquest, or Financial Planning software
Professional designations are an asset
